Email is one of those "simple" things that can actually get quite complicated. This is because there are free options which come with limitations, and paid options which may come with different limitations!

We can help you set up the best email solution for your organisation.

Most email solutions have both pros and cons. Here are some examples:

1. Free options such as Gmail or Hotmail

  • Pro: Free.
  • Con: The "gmail.com" at the end of the email address looks unprofessional and is therefore not recommended for business use.
  • Con: While file and calendar sharing can be configured by each account manually sharing things to other email addresses, there is no central administration - if a password is lost, the account is lost.

2. Email forwarders configured within your cPanel website hosting account.

  • Pro: Free.
  • Pro: "To" email address has "yourdomain.com.au" at the end.
  • Pro: Does not take up bandwidth, as email sent to "yourdomain.com.au" is automatically forwarded to another email address.
  • Con: Reply emails come from the destination email, not "yourdomain.com.au". This is not recommended for business use.
  • Con: No server-based copy of sent and received emails saved for future reference.
  • Con: No file/calendar sharing.

3. POP3/IMAP email set up within your cPanel website hosting account.

  • Pro: Free (with conditions).
  • Pro: Email address has "yourdomain.com.au" at the end.
  • Con: While bandwidth is relatively inexpensive/free, email is stored within your hosting account and over time this may fill up the hosting account disk space. You can download it to free up the account (POP3), but then there is no server-based copy available for future reference. Or you can pay to increase the size of your website hosting account. If you receive a lot of email attachments, this can get expensive fairly quickly.
  • Con: No file/calendar sharing.

4. Business Email Hosting

  • Pro: Cloud-based server, based in Australia.
  • Pro: Uses "yourdomain.com.au".
  • Pro: Manage multiple email accounts from one administration panel.
  • Pro: File and calendar sharing between accounts.
  • Con: Cost - starts at AU$2.95/mailbox/month for 5GB cloud storage space.
  • Con: Platform is Atmail - webmail will be unfamiliar to many users and may involve a learning curve.

5. Google Workspace: Collaboration & Productivity Apps for Business

  • Pro: Cloud-based server.
  • Pro: Uses "yourdomain.com.au".
  • Pro: Manage multiple email accounts from one administration panel.
  • Pro: File and calendar sharing between accounts.
  • Pro: Looks/works the same as Gmail (familiar to many users, no learning curve).
  • Pro: Google mail has excellent anti-spam prevention.
  • Con: Cost - starts at AU$8.40/mailbox/month for 30GB cloud storage space.

6. Microsoft Office 365 Business Premium

  • Pro: Cloud-based server.

  • Pro: Looks/works the same as Outlook.
  • Pro: Includes license for Microsoft Office suite - Outlook, Word, Excel, Powerpoint, OneNote & Access
  • Con: Cost - starts at AU$17.20/user/month (annual commitment) for unlimited cloud storage space.
