How do I choose the right AI tools?

The number of AI tools available has grown quickly and continues to grow. Trying to evaluate all of them is not a practical use of your time. A more useful approach is to start with the problem you’re trying to solve, then find a tool that fits – rather than the other way around.

Start with the task, not the tool

Before looking at any specific product, answer these questions:

  1. What specific task am I trying to make easier or faster? The more specific the better – “content creation” is too broad, “writing a first draft of my monthly newsletter” is specific enough to evaluate against.
  2. How much time does it currently take me? If it takes ten minutes a week, the efficiency gain from an AI tool probably doesn’t justify the setup time. If it takes half a day, it’s worth investigating properly.
  3. What does good output actually look like for this task? Knowing what you’re aiming for makes it much easier to evaluate whether a tool is delivering it.

The main tools and what they’re best for

Most small businesses will find everything they need across a small number of platforms. The major general-purpose AI tools – ChatGPT, Claude, Gemini and Copilot – all handle writing, research and summarising well. The differences between them matter less than how well you’ve configured and prompted them.

Beyond general-purpose tools, specialist tools exist for image generation, video, audio, coding, data analysis and specific business applications like customer support or scheduling. These are worth exploring once you have the basics working.

What to avoid

There are a few common patterns worth being aware of before you commit to anything:

  • Paying for multiple tools that do the same thing. Most small businesses need one well-configured general-purpose tool, not five overlapping subscriptions.
  • Choosing based on what’s currently getting the most media coverage. The tool that’s trending this month may not be the best fit for your specific tasks.
  • Assuming the most expensive option is the best one. The free tiers of most major AI tools are sufficient for many small business tasks.

Get your foundations right first

Before investing time in AI tools, it’s worth being honest about your starting point. If your files are disorganised, your processes aren’t documented and your basic digital tools aren’t working properly, AI won’t fix any of that – it will just add another layer on top of an already messy setup.
