Understanding your Managed website
Each year brings new Committee or Board members, so this page outlines the services ENVEE Digital Pty Ltd (trading as WebSolutionZ) currently provides to your Not-For-Profit (NFP) or community organisation. It’s designed to clarify what’s already in place, how it works and what to do if your organisation’s needs change.
Managed Website Overview
Your website is a Managed website, designed and built as part of a professional web development project in collaboration with your organisation. It is maintained by WebSolutionZ to ensure security, stability and long-term usability.
We typically undertake these projects through community involvement, especially when an organisation has no existing web presence, limited technical capacity, high volunteer turnover or has experienced issues such as a hack. This service is provided without profit motive.
Managed websites are built on a secure, customised Content Management System (CMS) with multiple access levels. This allows different users to manage specific sections of the site while protecting core infrastructure from accidental damage.
What’s included
Professional website ownership involves multiple layers of responsibility:
- Content management – adding and updating words, images and documents.
- Website design & development – changes to layout, structure or functionality.
- Website maintenance & security – updates, backups and protection against threats.
- Supporting infrastructure – domain names, analytics, SEO, Google Business, social media and more.
For Managed websites, your organisation is typically responsible for content updates. WebSolutionZ handles the rest, or has guided your organisation to set up appropriate services (e.g. hosting or domain registration).
Our Agreement
The standard agreement between your organisation and WebSolutionZ includes:
- A fully customised, SEO-optimised website provided free or at discounted rates.
- Inclusion of WebSolutionZ as a sponsor on your website and digital communications.
- Ongoing updates, maintenance, security and remote backups via an annual support package (charged at cost).
- Free first-level tech support (non-SLA; commercial clients are prioritised).
- Free video-based content management training for new users (additional training available on request).
- A designated Primary Contact who receives all service-related communications.
=> Additional Contacts can be defined by your organisation.
=> Only authorised Contacts may request support or changes.
=> If a request comes from an unknown contact, it will be referred back to the Primary Contact for verification.
Support and Permissions
Our priority is keeping your website safe. Most Managed websites require minimal support because users only have access to content areas. If a change request involves infrastructure, SEO or site-wide impact, we’ll handle it for free via a support ticket.
We use a secure client management system with a web-based helpdesk. To ensure your request is logged:
- Send one email per issue to the correct Support address.
- You’ll receive a confirmation email when your ticket is logged.
- If you don’t receive confirmation, we haven’t received your request.
For work beyond content management, the Primary Contact can raise a support ticket and we’ll either assist or provide a quote.
Changing the Agreement
WebSolutionZ does not provide full Super User access to the CMS backend of Managed websites. This ensures we can maintain stability across multiple sites and keep costs low.
If your organisation’s needs change and you require full access or wish to move to an un-managed arrangement, please have the Primary Contact get in touch.
Moving to un-managed means your organisation takes full responsibility for updates, maintenance and security. You may also need to purchase commercial software currently provided under the Managed plan. Ongoing support is available under standard commercial terms.
If we manage other digital assets for your organisation – such as domain names, Google or Meta accounts – please notify us if you wish to cancel the agreement so we can remove our access.
